TAQA North might be the place for you. Job description: We are seeking a personable, hard-working and service-oriented Office Services Coordinator to join our team. The ideal candidate will be responsible for ensuring the smooth operation of our office, providing excellent service to both internal and external stakeholders and performing various administrative tasks. The candidate will report to the Manager, Communications & Office Services and work closely with another team member to ensure seamless office operations. Your key responsibilities:
- Manage office and kitchen supplies, including ordering and maintaining inventory.
- Maintain office communal spaces including meeting rooms and kitchen areas, ensuring they’re clean, stocked and orderly.
- Oversee office maintenance, conducting floor checks for things like burnt out lights and paint chips and coordinating repairs and cleaning as necessary.
- Conduct building orientations, arrange access cards and set up desks for new employees.
- Source and order promotional items for staff and manage the company merchandise store.
- Process and code invoices and track expenditures against department budget.
- Liaise with building management and other vendors and communicate updates to the company when required.
- Collect, deliver and send mail, track cheques and manage incoming and outgoing deliveries.
- Manage incoming voicemails and emails and greet visitors.
Your qualifications: The successful candidate will:
- Have previous experience working in an office environment, in an office coordinator, administrative or other relevant role.
- Be a proven team player who can also work independently and take initiative when needed.
- Possess excellent interpersonal skills and experience working with internal and external stakeholders.
- Have strong organizational abilities and experience managing projects.
- Be proficient in Microsoft Office and have an aptitude for learning and using different software programs.
- Know how to follow a budget, manage invoices and track expenses.
- Possess a strong work ethic and demonstrate the ability to solve problems.
- Be detail oriented and take pride in their work.
