Key Responsibilities:
- Inventory Management:
- Analyzes project requirements to estimate material needs.
- Ensures accurate forecasting of materials to prevent shortages or excess stock.
- Collaborates with procurement teams to schedule timely deliveries.
- Monitors material costs and optimizes inventory usage.
- Explores material substitutions and obtains quotes from suppliers.
- Negotiates terms with vendors and coordinates delivery schedules.
- Identifies cost-saving opportunities without compromising quality.
- Ensures that project estimates align with inventory capabilities.
- Works with suppliers to secure the best pricing and delivery schedules.
- Evaluates vendor performance and suggests improvements.
- Negotiates contracts and bulk purchasing agreements.
- Coordinates with the bay/storage team for physical material checks.
- Recommends process improvements for more efficient stock management.
- Updates and reconciles internal stock records after inventory activities.
- Identifies potential supply chain risks and creates contingency plans.
- Ensures compliance with industry regulations and project specifications.
- Tracks material warranties and certifications.
- Manages materials for ongoing projects.
- Resolves on-site issues with vendors or deliveries.
- Addresses any discrepancies or urgent requests in person.
2. Leadership and Department Management
- Oversee and lead the estimation department, ensuring efficient workflow and high-quality cost estimates. Develop and implement department strategies to improve estimating accuracy and efficiency.
- Manage a team of estimators, assigning tasks, setting priorities, and monitoring performance.
- Provide mentorship and professional development opportunities for junior and mid-level estimators.
- Team Collaboration:
- Meeting with project teams to review material requests, substitutions, and updates.
- Discussing critical project requirements or urgent procurement needs
- Provides regular updates on material costs, availability, and budgeting.
- Adjusts estimates based on project changes and unforeseen challenges.
- Collaborates with procurement teams to ensure accurate material sourcing and purchasing.
- Works with vendors to clarify requirements, negotiate better pricing, and ensure timely deliveries.
- Communicates material needs and delivery schedules to on-site teams.
- Assists site supervisors in understanding cost constraints and efficient material usage.
- Addresses any issues related to material shortages or substitutions.
- Resolves discrepancies between estimated and actual costs or materials received.
- Aligns project cost estimates with company financial goals and budgets.
- Provides financial teams with detailed breakdowns of estimated vs. actual costs.
- Helps in tracking project profitability and cost optimization strategies.
- Works with architects and engineers to understand project specifications and cost implications.
- Provides value-engineering suggestions to optimize costs without compromising quality.
- Ensures estimates align with technical feasibility and design requirements.
4**. Document and Process Oversight:**
- Reviewing and organizing physical purchase orders, receipts, and other documents;
- Coordinating closely with foreman and site managers for delivery plans.
- Ensures that all estimates comply with industry standards, safety codes, and legal requirements.
- Maintains documentation related to permits, vendor contracts, and project budgets.
- Tracks actual vs. estimated costs and updates cost databases accordingly.
- Repairs reports on estimation trends, risk factors, and cost fluctuations.
- Uses estimation software to generate detailed financial and materials reports.
5**. Database Updates:**
- Inputting material prices into Stack and maintaining records.
- Keeping the material price database updated.
6. Client and Stakeholder Communication
- Handling hot leads.
- Issue Resolution:
- Addressing material delays, shortages, or quality issues through email or calls.
- Developing strategies for material efficiency.
- Planning and Analysis:
- Reviewing project requirements, material estimations, and wastage trends.
- Preparing reports and updates for management.
Qualifications & Experience
- Education: Bachelor's degree or diploma in construction management or a related field preferred.
- Experience: Minimum 5-7 years of residential construction estimating experience.
- Mandatory experience with Stack, Kojo and QBO is essential for this role.
- Familiarity with construction materials, methods, and local Building Codes.
- Excellent mathematical, analytical, and problem-solving skills.
- Exceptional attention to detail and accuracy.
- Strong negotiation and communication skills.
- Ability to work collaboratively with multiple departments and stakeholders.
- Understanding of residential homebuilding trends, market pricing, and value engineering.
- Experience working with suppliers and trade partners in a homebuilding environment.
Working Hours:
Monday to Friday: 8:00 AM to 4:00 PM (mandatory, with a 30-minute paid lunch break).
Compensation and Benefits:
- Sick Leave: 2 sick days per year.
